1. Information you give us
When you submit a commercial account application or RFP, or contact us by email or phone, we collect:
- Your name and job or ownership role
- Your legal company name, DBA and physical business address
- Corporate email address and business phone number
- Federal EIN, resale or exemption certificate details, and any documentation you send us
- The product categories you buy and your estimated purchasing cadence
- Any other details you include in your application, RFP or order correspondence
2. Information collected automatically
Our hosting provider records standard server logs, which may include IP address, browser type, pages requested and timestamps. These are used for security and to keep the site running. If we add website analytics, they are described in Section 9.
3. Why we use your information
- To verify your business before releasing commercial pricing, including validating a resale certificate with the issuing authority
- To prepare and send quotations, bills of materials and category pricing
- To process, invoice, ship and support your orders
- To meet tax, accounting and commercial compliance obligations
- To communicate with you about availability relevant to the categories you asked about
- To prevent fraud and protect our business and customers
We do not sell your information, and we do not share it with third parties for their own marketing.
4. Legal bases (buyers in the EU, UK and similar regimes)
Where the GDPR or a comparable law applies, we rely on: performance of a contract (quoting, supplying and supporting your orders); legitimate interests (business-to-business communication, fraud prevention, securing our systems); legal obligation (tax, accounting and regulatory compliance); and consent where we ask for it, which you may withdraw at any time.
5. Who we share it with
We share information only as needed to run the transaction, with:
- Freight carriers and logistics providers, to fulfill and deliver your order
- Our bank and payment providers, to receive and reconcile payment
- Our accountants and tax advisors, and the Florida Department of Revenue for resale certificate verification
- Service providers who host this site or our email and messaging systems
- Law enforcement or regulators where we are legally required to respond
6. International transfers
We are based in the United States, and information you send us is processed there. If you contact us from outside the U.S., you understand that your business contact details will be transferred to and stored in the United States, which may have different data protection rules than your country.
7. How long we keep it
Inquiries that do not become accounts are kept for up to 24 months and then deleted. Records tied to actual transactions - invoices, resale certificates, shipping and delivery records - are retained for at least five years to satisfy Florida Department of Revenue, IRS and commercial recordkeeping requirements, and longer where a law or an open dispute requires it.
8. Security
We use access controls, encrypted transport (HTTPS) and limited internal access to protect the information we hold. No system is perfectly secure, so please do not send full bank details, passwords or government ID numbers through website forms or messaging apps. If you must send a resale certificate, email is preferred.
9. Cookies and analytics
This website does not set advertising or tracking cookies. If we add analytics or advertising tools later, we will update this section, describe what they collect, and add a consent banner where the law requires one.
10. Your rights
Depending on where you are, you may have the right to request access to the information we hold about you, to correct it, to have it deleted, to restrict or object to certain processing, to receive a copy in a portable format, and to complain to a supervisory authority. Florida residents have rights under the Florida Digital Bill of Rights, and residents of other U.S. states may have comparable rights. We do not sell personal information or use it for targeted advertising.
To exercise any right, email contact@fftradesolutions.com with "Privacy request" in the subject line. We will verify your identity as the business contact before acting and respond within the time the applicable law allows.
11. Not for consumers or children
This site is directed at businesses. It is not intended for individual consumers or for anyone under 18, and we do not knowingly collect information from children.
12. Changes to this policy
We may update this policy as our operations change. The revision date at the top shows when it last changed, and material changes will be highlighted on this page.
